One-on-one meeting (formerly post-training)

In order to get teachers into the system so that they can get bookings and are able to get their hands dirty in training, we need to do a one-on-one meeting with them. It's best to do this towards the start of training.

In this meeting, you need to make sure they are ready to start and run through TEFtalk with them. It should take about an hour if the teacher is organised and ready. To be ready, a teacher must have done these things before the meeting:

  1. Filled out their teacher profile (see here https://theenglishfarm.com/teacher-help/navigating-english-farm/your-te…);
  2. Uploaded a professional picture; and
  3. Set up their Skype account correctly.

In the meeting, cover the following:

  1. Firstly, ask if they have any questions! Field what you can or refer them to Matthew.
  2. Ask for feedback on the training process and pass that on to the training team.
  3. Hatch (explain the purpose of it and how the new teacher will be added to it). Send Hatch pdf. Assign a Hatch leader and add the teacher to that hatch Skype thread.
  4. Check their profile is complete (it should be short and sweet and pitched at students with simple clear language—not copied from their CV).
  5. Check teaching hours/availability. Teaching hours should be in small chunks with scheduled breaks. Strongly discourage anyone doing more than 2 or 3 lessons on the trot. They can change their hours once they are settled.
  6. Talk about booking horizons and make sure that they are comfortable with them: minimum not too short so they cannot prepare and at least 30 or 60 days in advance. Explain that they should drop that minimum once they are comfortable because there is demand for same-day bookings.
  7. Add them to Skype threads: Water Cooler, Important Notices, Tech support groups (explain the purpose of each and how the new teacher will be added to them). Also add them to a couple of communities of practice so that they know they exist.
  8. Staff meetings and workshops (what are they? When are they? Why do we have them?). Share the meetings calendar with them. Here is the link:

  9. Communities of Practice: explain these.
  10. Start date: put the teacher on holiday from a date in the past to the day before they want to start working. This MUST be done before the next step.
  11. Switch them on! Add them to the schedule and give them full teacher permissions by clicking the IN TRAINING button. It will change to IN SCHEDULE and then you can see them in the schedule (check). You cannot proceed with TEFtalk training if this is not done. If something goes wrong, then click IN SCHEDULE again and the teacher will be removed from the schedule.
  12. Get the teacher to share the screen and talk them through how to open a slot, and then book in their training hours: https://theenglishfarm.com/teacher-help/booking-system Tell them to book in training for the current month. The total is important. They don't need to book it in for when it happened.
  13. Show the new teacher how to book in a lesson with your training student so you can do TEFtalk training.
  14. It is also useful to book and cancel a couple of lessons with your student (training) account so that the teacher can see where those lessons appear on My Page and in the schedule and can see the booking confirmation emails. (Don't do it for the current day.)
  15. Do TEFtalk training.
