6 Lesson Records

1. Access

  • Under "Future lessons" or "Past lessons" on "My Page."
  • Green button on student's profile.
  • Black bar at the top of the page:
    • Hover over "Content." Hover over "Add content." A list will drop down. Click "Lesson record."

2. Lesson

  • Click the box the lesson is for
    • If it is a double/triple/quadruple lesson, make sure to click all relevant boxes!

3. Today's lesson

  • Put in a title for the lesson. It should be consistent with what was done in class. For example: "Speaking Test Strategies 11"
  • If the student does not attend the lesson, the title should make that clear. For example: "Sorry you couldn't make it today!"

4. Lesson feedback

  • Address this section to the student. For example: "Hi [student's name]. Thank you for your work today."
  • Give a summary of what was done in class.
    • What did the student do well?
    • What can the student work on?
    • You can include any tips or grammar points here. 
    • If the student did not show up, the message here should make that clear. You should also say if you contacted the student and if the student contacted you. For example. "Hi [student's name]. I'm sorry you couldn't make it today. I messaged you on Skype, but you must be busy working still. I hope you are able to relax after work! Take care, Kara." // "Hi [student's name]. I'm sorry you couldn't attend the lesson today. Thank you for messaging me on Skype to let me know beforehand. I hope to see you soon. Take care, Kara."

    • Make your text look dynamic by:
      • Adding numbered lists or bullet points
      • Adding a block quote
      • Adding a table
      • Crossing out text (for mistakes)
  • Include an image by clicking the image icon (the icon looks like a mountain and sun)
  • Embed a video or graph
    • Video:
      • Copy the embed code for the video. To do so:
        • Go to YouTube. 
        • Click "share."
        • Click "embed." Copy the embed code.
        • Go back to the lesson record. Click the embed icon (it looks like a movie scroll). Paste the embed code there. Click "OK." Note that the video will not show up. It will just be a box that says "Embedded media." It will not show up until you finish the lesson record.

    Graph (Ngrams)

    • Copy the embed code for the graph. To do so:
      • Go to the graph.
      • Click "Embed chart" in the top right-hand corner of the page. Copy the embed code.
      • Go back to the lesson record. Click the embed icon (it looks like a movie scroll). Paste the embed code there. Click "OK." Note that the graph will not show up. It will just be a box that says "Embedded media." It will not show up until you finish the lesson record.

5. Vocabulary

  • Add any vocab words that came up in class in this section.
  • Note that there is a character limit (200 characters).
  • It is best to follow this format:  "butter [v]; I buttered my toast."
  • Click "Add another item" to add more words.

6. Phrases

  • Add any phrases that came up in the class here.
  • Note that there is a character limit (400 characters).
  • Click "Add another item" to add more phrases.

7. Recording & Pronunciation

  • Add any words that need pronunciation practice here.
  • Note that there is a character limit (60 characters).
  • It is best to follow this format: "pronunciation /pro - nun - see - YAY - shun/"
  • Click "Add another item" to add another word.
  • You can include longer audio scripts under "Audio Description."
  • Give the audio a title. It can be the specific sounds or things you worked on ("/f/ and /v/" or "Intonation") or if you worked on a lot of different things you can just put the date ("Pronunciation practice from January 10, 2018"). 
  • Press "Record" to record your voice (this will allow the student to listen and practice after class).
    • Say the words or phrases at a couple of different speeds.
    • If you botch it up, it's no problem, just hit "Stop" and then hit "Record" again. Your previous recording will automatically be deleted and will be replaced with the new one.
    • Note that there is a time limit (5 minutes).

8. How many lessons for this record?

  • If it is a single, double, triple or quadruple lesson with one student, you only have to fill out one lesson record. Choose the correct number here.
    • If you have 5 + lessons with the same student in one day, you will have to fill out two lesson records.

9. Homework

  • Students get 1 homework point for each lesson they take (if the student takes a double lesson, they get 2 homework points). Homework points expire six months after the lesson takes place. Note that if the student does NOT attend the lesson, they still get a homework point, so you can assign some!
  • Homework can be a GBC question, an exercise from the textbook or something that you have thought of.
    • It is best to assign homework even if the student doesn't ask for it. That way the student knows what they should be doing outside of class if they do have a spare moment.

10. Next lesson

  • Put what should be done in the next lesson here.
    • Make sure this is very clear. This is because the next lesson this student has may not be with you!
      • If the student is doing more than one course, you must put BOTH courses here (even if you only worked on one course with the student in class)!
        • For example: "Exercise 2 page 47 BRUI // Exercise 5 page 15 Pronunciation" (we will talk more about the courses we offer later on)
          • Side note: if you see two courses listed and you have a lesson with that student, you have to prepare for BOTH courses. When the lesson starts, ask the student what they would like to do in class (you will learn more about this in the teaching training section).

11. Message to the next teacher. If you have a message to the next teacher, please write that here. Note that the student will not see it. 

12. Attendance, trouble & refunds

  • Attendance
    • Mark if the student attended the lesson. The student must have attended for AT LEAST TEN MINUTES for it to count as "present."
    • Mark if the student missed any part of the class. This includes arriving late or leaving early!
      • Note that if the student did not attend the lesson at all, you should mark "More than 15 minutes missed."
    • Mark if you (the teacher) arrived on time. Be honest here as sometimes things happen. Note that if you click that you arrived late, a box will appear so you can explain what happened.
    • Trouble
      • Mark if you or your student had tech trouble. If you click that one of you did have trouble, a box will appear so you can explain what happened. For example: "My Internet cut out during the lesson, so we lost a few minutes of class."
  • Refunds
    • Here you have the option to refund the students point. There are many reasons why you might need to refund the point, such as:
      • There was tech trouble on your end or the student's end (note that if the tech issue is recurring and you or the student is not doing anything to fix it, then a refund should not be given -- more on this topic later).
      • You miss the lesson (because you forgot or were stuck in traffic, etc.)
      • You want to make an exception (this is discouraged). If your student has had some sort of emergency and cannot attend the lesson, you can refund their point. If you do this, you WILL NOT get paid -- more on this below.
    • If you give the student a refund, a box will appear asking if you (the teacher) should be paid.
      • You should be paid if there was tech trouble (on either end) and it is not recurring.
      • You should not be paid if:
        • You missed the lesson (you forgot or were stuck in traffic, etc.)
        • You are making an exception for when the student can't attend the lesson. You refund the point, but you don't get paid. You take the hit for being generous.
        • The tech issue is recurring. Let's say your microphone is broken, your student can't hear you and you haven't done anything to try to fix the issue.

 13. Study performance

  • These are secret. This means that the student won't see your leaf-ratings when you complete the lesson record. (They will eventually see the leaf-ratings at the end of their term).
  • Use your judgment. Keep in mind that this is to protect you. If a student always comes to class, but never puts in any effort, this might make you look like a bad teacher.

14. Saving the lesson record

  • At the very bottom of the lesson record, you have a few options:
    • Save as draft to go back and finish it later.
      • If you save it as a draft, it will not be sent to the student. To save a draft, you only need to input the following (all indicated with red stars on the lesson record form):
        1. Lesson (the checkboxes at the top)
        2. Title
        3. Next lesson box
        4. Attendance ("yes" / "no")
  • It is a good idea to save the lesson record as a draft if you see that the student has another lesson with another teacher soon. That way, the next teacher will know what to do in the lesson ("Next lesson" box).
  • Save and email when you have finished it.
    • When you click "Save and email," an email with the lesson record will be sent to the student. Therefore, you should not click this button until it is complete.

15. After saving the lesson record

  • After you save the lesson record, you can go back and edit it at any time. Just click on the "Edit" button and make any necessary changes. Another email will NOT be sent to the student to let them know it has been updated.
  • You can also add an annotation anywhere on the lesson record. This feature you can only do after saving the lesson record. Just highlight the word/phrase you would like to add an annotation to. A little icon that looks like a pen will pop up. Click it. Add your annotation. Click "save." The word/phrase will stay highlighted.

16. Mock lesson record

  • Trainer should show the student a few good example lesson records.
  • Trainer and trainee should then do at least two mock lesson records together. To do so, trainers should book lessons with "Matthew Test." The lessons records will then be for Matthew Test and appear on this profile.
    • ​Complete a regular lesson record (for when the student attends).
    • Complete a no-show lesson record.

17. Lesson record tips:

  • Using a side-by-side view app can be really helpful. It will allow you to have Skype open and the lesson record open side-by-side. You can then complete some of the lesson record during the class by copying and pasting what you write in the Skype box into the lesson record.
    • PC users: you should have a side-by-side app built into your machine.
    • Mac users: you will have to purchase a side-by-side app (it is super cheap).
      • BetterSnapTool is a good app.
    • If you are nervous about teaching and filling out the lesson record at the same time, forget about the lesson record during the class, Focus on teaching the class and then fill out the lesson record after. It will take time to learn how to do both at the same time. It is normal to not be able to do this right away!
  • Open the lesson record before the lesson starts. Open a few slots under "Vocabulary," "Phrases" and "Recording & Pronunciation." It can be helpful to have a few slots open so you can start copying and pasting straight away. If you don't end up using all of the slots, you don't even have to delete them, as they won't show up when you save the lesson record!

18. Lesson records: other important information

  • You only have to fill out a lesson record for classes that appear in your calendar! If the student cancels the lesson in the calendar (even if it is less than 12 hours before the lesson start time) you do NOT have to fill out a lesson record -- more on cancellations down below.
  • Lesson records should be completed as soon as possible after the lesson! The sooner, the better. Of course, you don't want to rush them as they should be detailed. This just means you should plan accordingly. Have built-in breaks in your schedule instead of a lot of back-to-back lessons so you can catch up on lesson records.
  • You can check to see if you have missed any lesson records for past lessons by looking at "My past lessons" on your "My Page." The "Add or edit record" button will appear in red.
